Job description
Job Title: Program Coordinator (6-Month Contract)
Location: Melbourne (Hybrid role with 2-3 anchor days in office)
Contract Duration: 6 Months (Immediate Start)
About the Role:
We are seeking a highly skilled and motivated Program Coordinator to support the successful delivery of a key program. This role is ideal for someone with experience in project, program, and/or PMO environments, who is eager to collaborate with program leaders, project managers, and external stakeholders. As a Program Coordinator, you will provide critical support across all aspects of the program to ensure its smooth operation.
Key Responsibilities:
Program Support: Assist the Program Manager in maintaining essential project management artefacts, including Risk, Action, Issue, Dependencies, and Decision registers.
Documentation & Reporting: Prepare reports, briefs, and presentations, coordinate resources, and manage project documentation to ensure alignment with the approved methodology.
Governance: Support governance activities, maintaining project controls, monitoring deliverables, and managing risks, issues, and dependencies.
Documentation Management: Establish and maintain documentation, transitioning it to operational teams post-project completion.
Meeting Coordination: Assist in the preparation and coordination of project governance meeting papers and program board papers.
Administrative Support: Manage administrative tasks for the project team, including liaising with PMs for meeting schedules, agendas, and minutes.
Resource Management: Coordinate the onboarding and offboarding of team members and manage user access for tools such as JIRA, Confluence, and SharePoint.
Schedule Management: Prepare project schedules in MS Project and facilitate resource interviews.
Key Selection Criteria:
Experience: Demonstrated experience in supporting Project Managers and Program Leadership in a project, program, portfolio, or PMO environment.
Technical Skills: Proficiency in Microsoft Suite (PowerPoint, SharePoint, Word, Excel, MS Project, and MS Visio).
Proactivity: Strong initiative and the ability to take ownership of tasks.
Communication: Experience creating and presenting high-quality project/program artefacts, simplifying complex information for diverse audiences.
Document Creation: Experience in creating templates, processes, and toolsets to streamline project management activities.
Leadership: Ability to provide leadership and guidance in program and project management, assurance, and governance.
Additional Information:
Hybrid Role: This is a Melbourne-based hybrid role, with 2-3 anchor days per week at the office.
Immediate Start: Full-time engagement with an immediate start.
Duration: 6-month contract.
